Our Thales Visionix business, a leading innovator in helmet mounted display technology has an opening for a temporary top-notch Office Administrator for 12 weeks in our Aurora, IL office.  




  • Handle the logistical administrative responsibilities of the office.
  • Manage Purchase Requests, AR & AP for office
  • Data Entry and scanning of electronic file attachments
  • Prepare and distribute administrative report
  • Manage supply Inventory
  • Prepare Expense Reports
  • Set up phone conferences or WebEx
  • Receive & Distribute Mail
  • Work with Engineers to gather information for editing manuals.
    • Prepare & Format Docs., such as Manuals  or Documents according to specs
  • Assist in MS Office projects for staff
    • Develop spreadsheets or documents as needed - May pertain to inventory management etc.
  • Update existing drawings in Manuals as needed
  • Scan & Copy project documents for employees as needed
  • Occasionally travel to local stores etc. to pick up materials for projects, events or office.
    • Organize meetings and company events (rooms, food, etc.)
  • Make Flight/Hotel Travel Arrangements for various staff members.
  • Other administrative duties as assigned.


  • US Citizenship  
  • Excellent communication skills – must be proficient in English –both verbal and written skills
  • Accurate & Detail Oriented
  • High degree of confidentiality a must
  • Proficient in Microsoft: Outlook, Intranet SharePoint, Word/Excel/PowerPoint
  • Strong people, communications, and organization skills
  • Multi-tasking abilities required
  • Prefer a degree in business/related field.
